It also covers information we collect from tenants, rental applicants, property owners and vendors in the course of managing properties, including by text message, phone, email and our resident portal.

1. Information We Collect

1.1 Personal Data. Information you provide to us, such as your name, email address, mailing address and phone number (including mobile number), when you contact us, submit a rental application, sign a lease or management agreement, register as a vendor, or otherwise interact with us.

1.2 Rental and Property Records. Information related to a lease, application or service relationship, such as lease terms, rent and payment history, maintenance requests and related photos, work orders, invoices, and messages you send us. Rental applications may include screening information (such as credit, rental and background history) obtained with your authorization from consumer reporting agencies.

1.3 Payment Information. Payment details you provide when paying rent, fees or invoices. Online payments are processed by our property management software provider and its payment processors; we do not store full card or bank account numbers on the Site.

1.4 Derivative Data. Information our servers automatically collect when you access the Site, such as your IP address, browser type, operating system, access times and pages viewed.

1.5 Mobile Device Data. Device information, such as device type and operating system, if you access the Site from a mobile device.

2. Use of Your Information

We use the information we collect to:

• Manage leases, properties and rental applications.
• Handle maintenance requests, schedule repairs and send work orders to vendors.
• Collect rent and other charges, and pay vendors and owners.
• Send notices required by a lease, a management agreement or the law.
• Communicate with you by text message, phone, email or mail about your tenancy, property or work.
• Respond to your questions and provide customer service.
• Operate, maintain and improve the Site.
• Prevent fraud, and protect against theft and criminal activity.

3. Sharing Your Information

We do not sell your personal information. We may share your information only as follows:

3.1 Service Providers. With companies that perform services for us, such as our property management software, payment processors, tenant screening providers, and our phone and text messaging provider, only as needed to provide those services.

3.2 Vendors Assigned to a Repair. With the contractor assigned to a maintenance request, limited to what is needed to complete the work (for example, a tenant’s first name, phone number, the property address and access notes).

3.3 Property Owners. With the owner of a property we manage, as needed for the management of that property.

3.4 Business Transfers. In the event of a merger, sale or transfer of some or all of our assets, with the successor organization.

3.5 Legal Obligations. If required by law, court order or a valid request by public authorities.

The sharing described in this Section 3 does not include text messaging opt-in data or consent (see Section 4).

4. Text Messages (SMS)

If you provide your mobile number as a tenant, applicant, owner or vendor, you may receive text messages from Heritage Properties about your lease, maintenance and repairs, rent, work orders, payments and property notices. Some messages are sent by our AI assistant, Roger, under our staff’s supervision. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.

We will never ask for a password, card number or bank account information by text message.

5. Cookies and Tracking Technologies

The Site may use cookies and similar technologies to understand how the Site is used and to improve your experience. You can set your browser to refuse cookies, though some parts of the Site may not work as intended.

6. Third-Party Websites

The Site may link to third-party websites, such as our resident portal and pet screening provider. We are not responsible for the privacy practices or content of those websites. Please review their privacy policies.

7. Security of Your Information

We use administrative, technical and physical safeguards to protect your information. However, no data transmission over the Internet or wireless network can be guaranteed to be 100% secure.

8. Children’s Privacy

The Site is not directed to children under 13, and we do not knowingly collect information from them. If we learn we have collected personal information from a child under 13, we will delete it promptly.
